Transforming Educational Tours into

ATAS is a travel company specializing in educational trips and international programs for children and young people. Its tours combine sightseeing, language learning, and supervised group travel. Traditionally, participants completed printed language exercises during visits to different destinations, while teachers and tour leaders coordinated activities, communicated with groups, and manually reviewed completed tasks.
Challenge
Managing educational trips involved a combination of paper materials, manual verification, fragmented communication, and complex operational coordination.
ATAS faced several key challenges:
- Educational exercises were distributed and completed on paper
- Teachers and tour staff had to manually review large numbers of language tasks
- Communication between organizers, staff in the field, and participants lacked a single dedicated channel
- Trip data, participant lists, and authorization processes had to be coordinated across different systems
- Monitoring activities and distributing relevant information required significant manual effort
- Traditional worksheets did not provide the level of interaction expected by digitally native participants
The platform also needed to function during international travel, where participants could be using roaming connections or limited mobile data.
ATAS required more than a digital version of a workbook.
The company needed a complete ecosystem that could combine education, gamification, communication, trip management, and internal system integration within one coherent experience.
Our Strategic Approach
We approached the project as a digital transformation of the educational tour experience.
The objective was to create a platform that would serve three groups simultaneously:
- Participants completing educational activities
- Teachers supporting students during the trip
- Tour leaders coordinating the itinerary and controlling access to tasks
The first phase focused on delivering a carefully defined MVP containing the functions essential for running real educational tours.
This required balancing product quality with clear scope boundaries. Advanced modules such as interactive maps, photo galleries, and parent-facing functionality were deliberately moved to later phases.
At the same time, the system architecture was designed to support future expansion without requiring the core platform to be rebuilt.
The strategic priorities included:
- Replacing paper exercises with digital activities
- Automating task verification and point calculation
- Creating a centralized communication channel
- Integrating the platform with ATAS’s internal DIX system
- Supporting flexible roles and permissions
- Protecting users from unexpected roaming data usage
- Building a scalable foundation for future educational and analytical features
Turning a Traditional School Trip into an Interactive Learning Experience
Mobile Applications for iOS and Android
We delivered a mobile app for participants and trip staff that brings together tasks, announcements, rankings, and trip-related features within a single, consistent experience. The application was designed specifically for group travel, ensuring fast access to key information while remaining usable even in conditions with limited connectivity.
Gamified Learning Path
We replaced traditional paper workbooks with a structured set of interactive digital tasks presented as tiles connected to specific destinations. Each activity is automatically verified by the system, with points assigned instantly after completion. This approach reduces the need for manual checking by teachers while giving participants immediate feedback and a more engaging way to learn during the trip.
Remote Trip Control
Tour leaders can manage the availability of tasks directly within the application, adjusting access in line with the current stage of the itinerary. Activities can be activated or restricted as needed, ensuring that participants only engage with relevant content at the appropriate moment and that the digital experience reflects the real flow of the trip.
Live Rankings with Privacy Protection
The platform includes both daily and overall rankings based on points earned through completed activities. To protect participant identity, users are represented by automatically generated pseudonyms. This introduces an element of friendly competition while maintaining a responsible approach to privacy.
Web-Based Administration Panel
We developed a web-based administration panel that allows ATAS to manage content and operational aspects of the platform without modifying the application itself. Through this interface, administrators can create and update tasks, configure quizzes, publish announcements, organize groups and content, control marketing placements, and review data imported from internal systems, all within a centralized environment.
Integration with the DIX Internal System
The platform was integrated with ATAS’s internal DIX system through an API connection that enables the exchange of key operational data. This includes participant information, trip details, group assignments, authorization data, and automatically generated trip sessions. As a result, manual data handling is reduced and consistency between systems is maintained.
Flexible Roles and Permissions
The MVP introduces a role-based structure that reflects the different responsibilities within an educational trip. Participants, teachers, and tour leaders each receive access to functions aligned with their role, while the system allows users to take on different roles depending on the specific trip context. The Parent role was intentionally deferred to a later stage of development.
Message Board
The Message Board serves as a centralized communication channel that connects organizers, staff, and participants. Announcements are created within the administration panel and delivered to selected groups of users, making it easier to share relevant information during the trip without relying on external tools.
Network-Aware Data Management
The application is designed to recognize the type of network connection in use, whether Wi-Fi, mobile data, or roaming. When an action could generate additional costs, the system can either block it or request user confirmation. This approach helps participants avoid unexpected charges while still maintaining access to essential features.
Multi-Step Authentication
Users access the platform through a structured authentication process that combines participant data, phone numbers, and email-based verification codes. This ensures that each user is correctly assigned to their trip and role, while maintaining synchronization with the internal system.
Technology and Architecture
The platform is built as a cohesive and scalable digital ecosystem that integrates mobile applications for iOS and Android with a web-based administration panel and an API layer connected to the internal DIX system, ensuring synchronized data flow, efficient content management, and seamless communication across all user roles.

The project provided ATAS with a digital foundation for modernizing the way educational trips are organized and experienced.

Most importantly, the project created a scalable technological foundation for the future development of ATAS’s educational travel offering.
What started as the digital replacement of paper workbooks became a platform capable of supporting new forms of learning, communication, analytics, and participant engagement.
ATAS is now equipped with a modern digital product that can evolve together with its educational programs and business strategy.
